Create policy

Learn how to create a new budget policy that applies receipt requirements and transaction review settings to selected budgets.

As an admin, you can create policies that apply settings to any assigned budget or custom limit card. You can create the following policies:

  • Automatically freeze cards: automatically freeze cards with incomplete transactions after a set period of time

  • Merchant category restrictions: allow or block transactions based on designated merchant category selections

  • Receipt requirements: determine which transactions require spenders to attach receipts

  • Transaction approvals: determine which transactions require approval and which users need to approve those transactions

  • Transaction limits: set the maximum amount that can be spent in a single transaction

You can also create a new policy by duplicating an existing policy.

Create automatically freeze cards policy

Automatically freeze cards policies allow you to automatically freeze cards with incomplete transactions after a set period of time.

  1. In the Navigation Menu, select Policies

  2. Select Automatically freeze cards

  3. Select New policy

  4. Enter a name for the policy in the Name your policy field

  5. Select your preferred settings for the Automatically freeze cards policy

  6. Select Save policy

  7. Your new policy displays in the Automatically freeze cards page

  8. To assign your policy to a budget, complete the following steps:

    • Select the Options (three dots) icon for the policy

    • Select Assign policy


Create merchant category restrictions policy

Merchant category restrictions policies allow you to allow or block transactions based on designated merchant category selections.

  1. In the Navigation Menu, select Policies

  2. In the Restrictions section, select Merchant category restrictions

  3. Select New policy

  4. Enter a name for the policy in the Name your policy field

  5. Select your preferred settings for the Merchant category restrictions policy

  6. Select Save policy

  7. Your new policy displays in the Merchant category restrictions page

  8. To assign your policy to a budget or custom limit card, complete the following steps:

    • Select the Options (three dots) icon for the policy

    • Select Assign policy


Create receipt requirements policy

Receipt requirements policies allow you to determine which transactions require spenders to attach receipts.

  1. In the Navigation Menu, select Policies

  2. Select Receipt requirements

  3. Select New policy

  4. Enter a name for the policy in the Name your policy field

  5. Select your preferred settings for the Receipt requirements policy

  6. Select Save policy

  7. Your new policy displays in the Receipt requirements page

  8. To assign your policy to a budget or custom limit card, complete the following steps:

    • Select the Options (three dots) icon for the policy

    • Select Assign policy


Create transaction approval policy

Transaction approval policies allow you to determine which transactions require approval and which users need to approve those transactions.

  1. In the Navigation Menu, select Policies

  2. Select Transaction approvals

  3. Select New policy

  4. Enter a name for the policy in the Name your policy field

  5. Select your preferred settings for the Transaction approval policy

  6. Select Save policy

  7. Your new policy displays in the Transaction approvals page

  8. To assign your policy to a budget or custom limit card, complete the following steps:

    • Select the Options (three dots) icon for the policy

    • Select Assign policy


Create transaction limits policy

Transaction limits policies allow you to set the maximum amount that can be spent in a single transaction.

  1. In the Navigation Menu, select Policies

  2. In the Restrictions section, select Transaction limits

  3. Select New policy

  4. Enter the maximum transaction amount in the Maximum transaction amount field

  5. Select Save policy

  6. Your new policy displays in the Transaction limits page

  7. To assign your policy to a budget or custom limit card, complete the following steps:

    • Select the Options (three dots) icon for the policy

    • Select Assign policy
